Terms of Service
1. Scope of Services
Country Travel and Tours Ltd provides destination management, travel booking, ground transport, multi-country tour packaging, and logistical coordination across Ghana and the West African sub-region (including Togo, Benin, and neighboring destinations).
We act both as a direct tour operator and as an intermediary agent for third-party service providers (such as airlines, hotels, and local transit contractors).
2. Bookings, Deposits and Payments
-
Quotes & Rates: All tour prices are quoted in USD or GH₵ (Ghana Cedi) as indicated at the time of booking. Rates are subject to change until a deposit or full payment is received.
-
Deposits: A non-refundable deposit (typically 30%–50% of the total tour cost, unless stated otherwise) is required at the time of reservation to secure accommodations, guides, and transit fleet allocations.
-
Final Payment: The remaining balance must be cleared no later than 30 days prior to the departure date for multi-day/cross-border tours, or as specified in your individual booking agreement.
-
Late Bookings: Reservations made within 30 days of departure require full payment at the time of confirmation.
3. Cancellations, Refunds and Modifications
A. Cancellation by the Client
All cancellations must be submitted in writing via email. The following standard fee schedule applies based on when notification is received prior to departure:
-
More than 45 days prior: Loss of non-refundable deposit only.
-
30 to 44 days prior: 50% of total tour price retained.
-
Less than 30 days prior / No-Show: 100% of total tour price retained (no refund).
Note: Individual flight bookings, visa assistance fees, and specific high-season hotel deposits are strictly subject to the non-refundable policies of those third-party vendors.
B. Modifications by the Client
Requests to modify travel dates or itineraries after booking confirmation will be accommodated where possible, subject to availability and any operational adjustment fees charged by transit or hotel partners.
C. Cancellation or Alteration by the Company
We reserve the right to modify or cancel any tour itinerary due to operational necessity, safety concerns, political instability, severe weather, or acts of Force Majeure. In the event of a full cancellation by us prior to departure, you will be offered an alternative departure date or a full refund of money paid to us (excluding third-party non-refundable fees).
4. Travel Documentation, Passports and Visas
-
Client Responsibility: Travelers are solely responsible for obtaining and maintaining valid passports (valid for at least 6 months beyond the intended return date), visas, health certifications (e.g., Yellow Fever vaccinations), and entry permits for all countries included in their itinerary (Ghana, Togo, Benin, etc.).
-
Border Crossings: For cross-border expeditions, failure to present correct travel documentation at border checkpoints that results in denied entry or delays is entirely the responsibility of the traveler. The Company is not liable for refunds or additional costs incurred.
5. Travel Insurance & Health Disclosures
-
Mandatory Coverage: We strongly advise all clients to purchase comprehensive travel insurance, covering trip cancellation, medical emergencies, emergency evacuation, baggage loss, and repatriation prior to travel.
-
Health & Physical Fitness: Travelers must disclose any pre-existing medical conditions, mobility restrictions, or dietary needs at the time of booking. We reserve the right to decline or remove any participant whose physical or mental condition compromises the safety or reasonable enjoyment of the tour group.
6. Limitation of Liability & Assumption of Risk
-
Third-Party Vendors: While we carefully vet our hospitality and transit partners, Country Travel and Tours Ltd acts only as an agent for airlines, hotels, external car rental operators, and local attraction sites. We are not liable for injury, damage, loss, accident, delay, or irregularity caused by defect, negligence, or default of any third-party provider.
-
Sub-Regional Travel Risks: Adventure and cross-border travel in West Africa involves inherent risks (including rough terrain, changing weather, and shifting border protocols). By booking with us, you voluntarily assume all risks associated with such travel.
-
Financial Limitation: To the maximum extent permitted by law, our total liability for any claim arising from our services shall not exceed the total amount paid by the client to Country Travel and Tours Ltd for the specific booking in question.
7. Client Conduct & Code of Conduct
Participants are expected to respect local laws, cultural customs, tour guides, and fellow group members. We reserve the immediate right to terminate the service or tour participation of any individual whose behavior is deemed illegal, abusive, dangerous, or disruptive, without any entitlement to a refund.
8. Intellectual Property
All content on our website and marketing materials—including text, layout frameworks, logos, and tour itinerary designs—is the intellectual property of Country Travel and Tours Ltd and protected under Ghanaian copyright laws. Unauthorized reproduction or redistribution is strictly prohibited.
9. Governing Law and Dispute Resolution
These Terms shall be governed by and construed in accordance with the laws of the Republic of Ghana. Any disputes arising out of or in connection with these Terms or our services shall first be submitted to good-faith mediation. If unresolved, the dispute shall fall under the exclusive jurisdiction of the courts of Ghana located in Accra.
